About This Policy
This Privacy Policy explains how Case Closed handles information when you use the Case Closed Android app, its website, and related services. Case Closed is operated by EffOne Solutions. You can contact us at support@caseclosedapp.com or by mail at 2760 West Peoria Ave #1005, Phoenix, AZ 85029.
Account Eligibility
Account registration is limited to users age 13 or older.
Information We Handle
We handle account information such as your email address, username, timezone, password hash, and avatar selection. We also handle information you create or use in the service, including public-profile details, friend relationships and invitations, case invitations, game messages, notebook notes, ratings, case progress, ranks, achievements, Evidence Locker items, Daily Mini Mystery results, and other side-mode results.
To operate and protect the service, the backend may also receive technical information such as IP address, user-agent information, authentication and device push tokens, and request timing or error information. Daily Mini reminder preferences are stored locally on your Android device.
Notifications, Purchases, and Advertising
Case Closed uses Firebase Cloud Messaging to deliver Android push notifications. We store registered push tokens and notification records needed for friend activity, case invitations, support replies, progression updates, and notification settings.
Purchases and subscriptions are processed through Google Play. Case Closed stores purchase-verification, entitlement, and access records needed to provide purchased content and restore access. If ads are available for your account, the Android app uses Google Mobile Ads. Google's handling of data is governed by its own policies.
AI Moderator
When you use AI Moderator, relevant case and game context together with your game messages or requests are sent to OpenAI to generate a moderator response or evaluate gameplay. The Case Closed backend records AI decision data that can include the player input, response text, decision summary, criteria snapshot, provider request identifier, token counts, latency, and error information. Do not include sensitive personal information in game messages. OpenAI's handling of information is governed by OpenAI's Privacy Policy.
Support and Communications
When you submit a support request, we store the email address you provide, the subject and message, and any support reply or internal support note needed to handle the request. Support replies may be sent to the email address associated with the request.
How We Use and Share Information
We use information to operate accounts, provide investigations and side modes, deliver purchases and notifications, respond to support requests, protect the service, investigate abuse, and meet legal obligations. We share information with service providers only when needed to operate Case Closed, including hosting, email delivery, Firebase, Google Play, Google Mobile Ads, and OpenAI.
Account Deletion and Retention
You can delete your account from Account in the Android app. The deletion process immediately removes the account and user-linked records that can reasonably be removed, including authentication records, verification and reset records, notification-center records and preferences, registered push tokens and push logs, friend relationships and requests, direct case invitations, notebook notes, game participation and messages, ratings, case and progression records, achievements, Evidence Locker records, Daily Mini Mystery results and stats, Interrogation Challenge sessions and attempts, Evidence Sorting attempts, support records, purchase events, purchases, entitlements, and policy-acceptance records. Security audit records linked to the account may remain in anonymized, non-account-identifying form. Games moderated by the deleted account are ended and reassigned to a deleted-user placeholder where required by the database.
Google Play keeps its own transaction, subscription, refund, and payment records under Google's policies. Account deletion does not cancel a Google Play subscription. Server backups and records retained for security, fraud prevention, dispute handling, or legal obligations may persist for a limited period where applicable.
Your Choices and Contact
You can update certain profile and notification settings in the app, manage Google Play subscriptions through Google Play, and request help through Account > Feedback or by emailing support@caseclosedapp.com. You must be at least 13 years old to create or use a registered Case Closed account.
